What we collect

Renewal Match collects broker contact information; when applicable, aggregate group renewal information, a group-level renewal PDF, confirmed carrier compensation values, a carrier commission-schedule PDF, and the rate, compensation, or solution-fit screens generated from those inputs. A short-lived, necessary browser-session cookie protects the upload and result flow. It is not used for advertising or cross-site tracking.

If an uploaded PDF contains scanned pages, the initial file check inspects it without keeping it as a case document. The browser reads those pages locally and sends a text-only transcript through the same file and privacy checks. That transcript, rather than the original page images, is stored with a submitted case. Brokers must review OCR figures because recognition can be inaccurate.

What not to upload

Do not upload employee names, Social Security numbers, full dates of birth, medical or claims information, diagnoses, member identifiers, banking information, credentials, member-level census files, commission statements, payment details, or policyholder records. Files that appear to contain prohibited data may be rejected.

How information is used

Information is used to generate private, non-marketable rate, compensation, and solution-fit screens and to create an expiring case-review path. A broker may record interest in an anonymous option for follow-up. Authorized internal reviewers may access submitted case information and documents, identify the private program behind each public path, and record the official review status. Information is not used to bind insurance, enroll an individual, or complete an appointment automatically.

Meeting booking

If a broker chooses to book a review meeting, Renewal Match opens a Google Calendar booking page. The broker enters a Renewal Match case ID and anonymous option code along with contact and meeting details. The link itself does not include uploaded documents or the private program name. Google sends the booking confirmation and meeting link by email; Renewal Match does not yet receive automatic booking updates. Do not enter group, member, tax, or banking information on the scheduling page.

Storage and deletion

Uploads are kept in private object storage and are not published at public file URLs. Public case receipts cannot retrieve documents. Cases, review notes, and review decisions are scheduled to expire after 30 days unless an approved official quoting process requires a different retention period. Operational logs are designed not to include document contents.
